Overview
It may be necessary to review Answer Library content outside of the normal review cycle.
Use Case: Your company has added a number of new features to one of your products, and all Content Library content must now be updated before any additional RFPs are submitted. Or, your company has recently gone through a merger or acquisition, and your content needs an immediate on demand review.
When an On Demand Review is initiated, the Responsive app automatically sends emails to the reviewers with links to the content and creates tasks for them. The content will appear on the Answer Library Review page.
Note:
While an On Demand Review is in progress, the Q&A pairs in that review cannot be changed in the Answer Library.
Setting Up On Demand Reviews
To enable this feature, perform the following steps:
- Navigate to Organization Settings. Choose Content Library, and then click Content Review. Click the Edit icon (pencil).
- Select the On Demand toggle, and then click Submit
Initiating On Demand Reviews
Assigning an Individual Q&A Pair for an On Demand Review
To assign a Q&A pair to one or more reviewers, perform the following steps:
- Navigate to the Answer Library by selecting the Answers tab in the navigation pane. Search for the Q&A pairs that must be reviewed as usual.
- Click the Q&A pair to be reviewed to expand it. Select the Menu icon (three stacked dots) to display the options, and then select On Demand Review.
- Enter the details of the review:
- Begin typing the name of the first reviewer. The Responsive app will automatically provide suggested names that you can select. Enter all the names of the reviewers
- Specify if the review should be performed by any of the reviewers or all of them
- Enter the date the review is due
- Enter a message for the reviewers, if needed.
- Click Send for Review.
Assigning Multiple Q&A Pairs for an On Demand Review
To send more than one Q&A pair for review, perform the following steps:
- Navigate to the Answer Library by selecting the Answers tab in the navigation pane. Search for the Q&A pairs that must be reviewed as usual.
- Select the Menu icon (three stacked dots) in the header, and then choose On Demand Review from the options.
- Enter the details of the review:

- Begin typing the name of the first reviewer. The Responsive app will automatically provide suggested names that you can select. Enter all the names of the reviewers
- Specify if the review should be performed by any of the reviewers or all of them
- Enter the date the review is due
- Enter a message for the reviewers, if needed.
- Select which Q&A pairs to be reviewed by selecting the checkbox next to the pairs, or by selecting the Select all from current page checkbox
- Click Send for Review.
Impact on Scheduled Reviews
When an On Demand Review is initiated, the Responsive app will replace the scheduled review date with the due date in the On Demand Review. After the review is completed, the next review date will be determined by the existing review cycle and will be set to the existing reviewers.
Example:
A Q&A pair is scheduled to be reviewed every three months, and the next due date is April. If an On Demand Review is initiated with a due date in March, the next regularly scheduled review will be due in June, not July.
For the Q&A pairs that have been assigned owners and reviewers, only the reviewers will be assigned the task.
Note:
The On Demand Review process does not affect the owners of the Q&A pairs.
On Demand Review Permissions
Someone selected to review content as part of an On Demand Review is temporarily granted the same permissions as the owner, even if that person does not usually have that access, including access to collections.
