Overview
Users can now be more effectively managed than before. Administrators can now customize the view of the Manage Users page using the Customize Column option so that only the desired user information is displayed.
Prerequisite: Only users with the permission Manage Users will be displayed with the Manage Users tab under USER MANAGEMENT. |
Once users are added into Responsive, you can edit their details, as well as deactivate/delete them from Responsive.
Updating User Profile Details
To update any user’s profile details, you can click on the user name. A page as shown below will be displayed:
Click the Edit Profile icon near the user name. The Edit Profile pop-up will be displayed as show below:
- You can edit details such as First and Last name, Time Zone, Date and Time Format, Job Title, Phone Number and Location. Once the details are entered, click UPDATE to save the changes. A success message will be displayed as shown below:
- You can update information such as Roles, Attributes, Collections, Tags, and Teams associated with users from the User Information section as shown below:
- Information regarding Connected App, Display Preferences, Email Preferences, Newsletter Subscription Preferences can be edited by clicking on the respective tabs.
Under Connected Apps, all apps to which the user is connected from Responsive will be displayed.
From Display Preferences, you can set the default language, default landing page, and default project landing page.
From Email Preferences, the actions for which the notification has to be triggered and its frequency can be set.
From Newsletter Subscription Preferences, you can turn ON/OFF the preferences.
- To view activities associated with the user, click the Activities icon. User’s activity at the project and question level will be displayed.
- As an Admin, you can Force reset the user password, update the email address, send a message to the user as well as Chat with the user by selecting the required option.
- By clicking the More options icon, you can select the required options to make the user as the Super Admin, Deactivate the user profile, Remove the user from the application and can also Reassign ownership of contents owned by the user to another user.
- If the user is not active, an option to Activate user will also be displayed.
Updating Roles
To update any user role, click the More options menu associated with the user and select Update Role. The Update Member Role pop-up will be displayed as shown below:
Select the ROLE from the drop-down options, select the ATTRIBUTES and then click UPDATE to save the changes. A success message will be displayed as shown below:
Updating Business Units
Note: This option will be available only if your Organization has purchased Business Unit as a paid Add-On. |
To update any user's business unit, click the More options menu associated with the user and select Update Business Unit. The Update Business Unit pop-up will be displayed as shown below:
Select the business unit from the drop-down options, specify the values for other fields and click UPDATE. A confirmation message will be displayed:
Click YES to continue. On successfully updating the business unit, a message as shown below will be displayed.
Deactivating Users
To deactivate an active user, click the More options menu associated with the user and select Deactivate.
The user will be deactivated and a success message will be displayed.
If the user to be deactivated is the owner of content in Responsive, the Deactivate pop-up will be displayed as shown below:
Select from the options. The former option would deactivate the user without transferring the ownership. If the latter option is selected, a section as shown below will be displayed:
Fill in the fields and click REASSIGN. The user will be deactivated, ownership transferred, and a success message will be displayed.
Removing Users
To remove a user, click the More options menu associated with the user and select Remove. The user will be removed and a success message will be displayed. A confirmation pop-up will be displayed as shown below:
If the user is the owner of content in Responsive, the Reassign Ownership pop-up will be displayed as shown below:
Enter the details and click REASSIGN. The user will be removed, ownership transferred, and a success message will be displayed.
Deleting Users in Bulk
You can remove more than one user at a time by selecting the checkboxes next to their names and then selecting Bulk Delete from the menu.
You will be prompted to confirm the deletion. If any of the deleted users has been assigned as the following, you will be prompted to assign new users:
- Owner for sections and tasks
- Owner for documents, Answer Library/Content Library content, section templates
- Primary Contact or Additional Primary Contact for projects
- Owner for Content Analysis Workspaces
- Owner for a project templates
Resending Invitations
If there are any non-verified users, an option to resend invitation to the user is available.
Resending the invitation will display a message as shown below:
