Overview
When working on a project, the project owner has the ability to assign reviewers at both the Section and Question level. Once assigned, the reviewer will have the ability to review and edit any content that has been completed by an author in the answer field. There are a few different options when it comes to setting up a review process. Any, All, and Sequential Review processes can be assigned at both the Section and Question level. Selecting the right option will depend on the needs and workflow of a specific team. This article will highlight the different review options and capabilities at both the Section and Question levels and assist you with determining which option works best for your team.
Use Case: One example we see for Reviewers in a project is when a member of a compliance or legal team reviews answers authored by proposal writers. When the review process is enabled it can help ensure each response is compliant, has been reviewed, and can be sent off to the requestor. Another use case might be for a reviewer to be a standard part of the proposal workflow. They would have the ability to check for grammar, accuracy, and decide if that content should be saved in the Answer Library. |
Review Process Options in Projects
There are three review process options that you can apply within a project. (Any, All, and Sequential) These options can be applied at both the section and question levels

Section Level Reviewers
Reviewers can be assigned at the Section Level. Reviewers are responsible for reviewing sections that have been 'submitted for review' by authors on the project. Once a user is assigned as a reviewer to a section, they will receive an assignment email notification. When the assigned section is ready for review, the reviewer will receive a second email notification. Reviewers can update content (responses, metadata, etc.), add comments, post clarifications, and more.
The second email will be triggered once the author submits the section for review by clicking SUBMIT FOR REVIEW.
Note: For sequential review process, this email will be sent only to the first reviewer in the sequence, other reviewers will be notified only when it is their turn to review. |
Once the section has been submitted for review, an icon at the section level will signify the section is pending review.
In addition, an email notification will be sent to the reviewer, notifying them that the section is ready for review.
The reviewer can approve the section by clicking COMPLETE REVIEW.
Reviewers can edit the answers and then click MARK AS REVIEWED.
Section can be rejected and reassigned by selecting Reassign to Author.
If the reviewer reassigns the section back to authors, the status will change from Submitted to In progress.
Another email notification will be sent to the author notifying them on the section reassignment.
Clicking VIEW SECTION from the email will take the author to the section that requires to be re-authored.
To give added information regarding the review process, the reviewer can also comment on the section content.
You can start a conversation by '@' mentioning in the text field, typing the name of the person you would like to include, and hit Enter from your keyboard, or click the Send icon.
The sent message will be displayed in Responsive as shown below:
The changes made by the reviewer/reviewers can be viewed from the Activities pane.
Click on any activity, the details will be displayed as shown below. You can see the changes made.
You can view the previous versions from the compare with drop-down. To apply any previous versions, click Use this version.
Question Level Review Process/Reviewers
Reviewers and specific review processes can be assigned at the individual question level or in bulk.
Use Case: A section with many questions may require specific questions to be reviewed by another set of reviewers following a different process which may vary from the already set reviewers and review process defined at the section level. |
Assigning reviewers for individual questions: You can assign reviewers at the question level from More Options > Assign > Reviewers.
The reviewer will get a notification on their assignment.
Clicking VIEW QUESTION will navigate you to the question assigned for review.
As a reviewer you can assign other Team Members or Guests to the questions you've been assigned to by clicking More Options > Assign.
Note: The reviewers with the Team Member role cannot assign questions to other users. |
Assigning Reviewers for Bulk Questions: You can assign reviewers for bulk questions from the sections page (Questions >Assign Reviewers)
The reviewers will get an email notification, clicking which they can view the questions to be reviewed.
What happens when Review Process/Reviewers are assigned at the question level
CUSTOM - Section Review Process
When Review Process/Reviewers are assigned at a question level to any of the questions in a section, the section’s review process changes to CUSTOM.
When a section’s review process is CUSTOM, the Edit Section page will display the review process/reviewers as non-editable as any edits at a section level will override all review process/reviewers’ assignments made at the question level.
However, you can edit the review process/reviewers at the section level by clicking Click to edit, which will override the question level assignments.
Mark as Review – Questions
If the question’s review status is Sequential, the MARK AS REVIEWED option will be displayed to the next reviewer in the sequence only when the previous reviewer marks the question as REVIEWED.
Once the question is marked as reviewed, you cannot revert its status.
Complete Review - Section
When a reviewer clicks on the COMPLETE REVIEW button at the bottom right corner, all assigned questions will be marked as REVIEWED.
You will be prompted with a confirmation pop-up.
All questions assigned will be marked as reviewed as shown below:
