Overview
Annotations is a versatile tool that teams can leverage within a response. Annotations can be used in multiple different ways to generate different options on exports.
Use Case: Adding a footnote annotation that would appear at the bottom of the page after exporting. This can provide additional information that cannot be properly included in the body of the response. Annotations can also be used as a citation to acknowledge a body of work.
Adding an Annotation
- Open the response you want to annotate.
- Select the text to mark the annotation.
- Click the Annotation icon.
- Enter a name for the annotation.
- Select the annotation type from the Type drop-down options. You can select from Internal, Footnotes, Endnotes, and Comments.
- The text selected for annotation is pre-populated in the Text to display field. Modify it if required.
- Click OK to add the annotation to the response.
- Click Show Annotations to view it. They are displayed on the right pane as shown below:
Editing or Deleting an Annotation
- Click the Delete icon to delete it, or select the annotated word and and click the Remove Annotation icon.
- Click the annotated word and click Insert/Edit annotation, then make your modification on the Annotation pop-up.
Exporting Annotations
When responses with annotations are exported, if applicable, the annotation is displayed in the exported word file.
Note: Annotations display only when exported in Microsoft Word documents.
Annotation options are:
- Internal - When this type of annotation is chosen, it is not displayed in the exported file. This type of annotation is only be for internal use within the application.
- Comments - This type of annotation displays the comments on the annotated text on export as a comment in Word.
- Footnote - This type of annotation displays a footnote in the exported Word document at the bottom of the page with the annotated text.
- Endnote - This type of annotation displays the annotation at the end of the exported Word document.
Importing Annotations
- When documents with annotations in answers are imported into the application, annotations with the endnotes and footnotes types are imported along with the answers and displayed in the application. Click Show Annotations to view the imported annotation in the application.
- If endnotes and footnotes are part of questions, and not answers, they will neither be imported nor displayed in the application. However, annotations with the comments type are not imported into the application even when they are part of an answer.
