Overview
You can bulk update tags, collections, moderators, privacy, owners, star rating, owners and more for all or filtered set of Answer Library contents.
To bulk update content from Answer Library you can follow the steps below:
- Log in to the application.
- Select Answers from the left pane.
- Click View All Content.
- The Answer Library page with Q&A pairs will be displayed. Click Menu from the top right corner.
- Select Bulk Update and select the required options.
Note: To apply bulk update to only a selected list of Q&A pairs, click Advanced Search icon, specify the criteria and click SEARCH.
Bulk Updating Tags
To bulk update tags, you can follow the steps below:
- Select Bulk Update > Tags.
The Update Tags pop-up will be displayed as shown below:
- To add tags, select Add Tags; to remove tags, select Remove Tags.
- To apply tags to the entire or filtered results, select Whole/Filtered Results; to apply tags only to selected question, select Select Questions.
- Enter the tags to be applied or removed.
- Click SAVE. A success message will be displayed on successfully applying or removing tags.
Bulk Updating Collections
To bulk update collections, you can follow the steps below:
- Select Bulk Update > Collections.
The Update Collections pop-up will be displayed as shown below:
- To add collections, select Assign Collections; to remove collections, select Remove Collections.
- To apply collections to the entire or filtered results, select Whole/Filtered Results; to apply collections only to selected question, select Select Questions.
- Enter the collection name to be assigned or removed.
- Click SAVE. A success message as shown below will be displayed on successfully assigning or removing collections.
Bulk Updating Moderators
To bulk update collections, you can follow the steps below:
- Select Bulk Update > Moderators.
The Update Moderators pop-up will be displayed as shown below:
- To add moderators, select Add Moderators; to remove moderators, select Remove Moderators.
- To apply moderators to the entire or filtered results, select Whole/Filtered Results; to apply moderators only to selected question, select Select Questions.
- Enter the moderator name to be added or removed.
- Click SAVE. A success message will be displayed on successfully adding or removing moderators.
Bulk Updating Privacy
To bulk update privacy, you can follow the steps below:
- Select Bulk Update > Privacy.
The Update Privacy pop-up will be displayed as shown below:
You can update view privacy and edit privacy.
- Select the View Privacy Settings from Everyone or Roles
When Roles is selected, a section as shown below will be displayed.
Note: If Roles is selected for View Privacy Setting, it will be selected by default for Edit Privacy Setting as well. However, if Everyone is selected for View Privacy Setting, you can select Everyone or Roles for Edit Privacy Setting.
- Click the drop-down.
- Select from Replace Roles and Append Roles
- Specify the roles for view privacy.
- Under Edit Privacy Setting, select Append Roles or Replace Roles.
- Specify the roles for edit privacy.
- Click SAVE. A success message will be displayed on successfully appending or replacing roles.
Bulk Updating Owners/Reviewers
To bulk update owners and reviewers, you can follow the steps below:
- Select Bulk Update and then Owners.
- The Update Owners pop-up will be displayed.
Note: To assign owners to the entire or filtered results, select Whole/Filtered Results; to assign owners only to selected question, select Select Questions.
- Enter the owner’s name.
- Select from the review options. To enable review and assign reviewers, click Enable Review; To disable review, click Disable Review.
- Clicking Enable Review will display a section as shown below:
- Turn on the toggle switch to customize the review cycle.
- Enter the days for the answer review cycle.
- Select the Next Review Date from the date picker drop-down.
- Click add icon to set a Follow-up Review Date and select a date.
- Click SAVE. A success message will be displayed.
Bulk Updating Star Rating
To bulk update star rating, you can follow the steps below:
- Select Bulk Update and then Star Rating.
- The Star Rating pop-up will be displayed.
- To apply star rating to the entire or filtered results, select Whole/Filtered Results; to apply star rating only to selected question, select Select Questions.
- Click on the required number of stars.
- Click SAVE. A success message as shown below will be displayed on successfully applying star rating.
Bulk Updating Metadata
To bulk update metadata, you can follow the steps below:
- Select Bulk Update and then Advanced. The Bulk Update pop-up will be displayed.
- To update metadata for the entire or filtered results, select Whole/Filtered Results; to update metadata only for selected question, select Select Questions.
- Select the checkbox associated with the metadata to be updated. A section as shown below will be displayed.
- Select Add or Remove from the drop-down.
- Specify the metadata name.
Note: For Projects, Section, and Tags, enter the name. For Language, select the language from the drop-down.
- Click UPDATE. A success message will be displayed on successfully updating the metadata.
Bulk Updating Privacy, Usage, and Review
You can bulk update Alert Text, Moderators, Owners, Answer Library Review, Privacy, Collections, Star Rating, Flag, and Shared Business Unit.
Note: To update metadata for the entire or filtered results, select Whole/Filtered Results; to update metadata only for selected question, select Select Questions.
To bulk update Alert Text, Moderators, Owners and Collections, you can follow the steps below:
- Select the checkbox associated with the field to be updated.
- Select Add/Remove from the drop-down options.
- Enter the Alert Text, Moderators, Owners or Collections in their respective fields.
- Click UPDATE.
To bulk update Answer Library Review, you can follow the steps below:
- Select Answer Library Review.
- Select Add from the drop-down.
- Turn on the Default toggle switch.
- Enter the days for the answer review cycle.
- Select the Next Review Date from the date picker drop-down.
- Click add icon to set a Follow-up Review Date and select a date.
- Click UPDATE. A success message will be displayed.
To bulk update Shared Business Unit, you can follow the steps below:
- Select the checkbox associated with Shared Business Unit.
- Select Add/Remove from the drop-down options.
- Select All or Selected.
- If Selected is chosen, specify the BU names.
- Click UPDATE.
To bulk update:
- Privacy: Select the checkbox associated with Privacy and follow the steps described in the section Bulk Update Privacy.
- Star Rating: Select the checkbox associated with Star Rating and click on the number of stars.
- Flag: Select the checkbox associated with Flag and turn ON the toggle switch to enable flag.

Bulk Updating Custom Field
To bulk update custom field, you can follow the steps below:
- Select Bulk Update and then Advanced. The Bulk Update pop-up will be displayed.
- To update custom field for the entire or filtered results, select Whole/Filtered Results; to update custom field only for selected question, select Select Questions.
- Click Custom Field. A section as shown below will be displayed.
- Select the custom field to be bulk updated. A section as shown below will be displayed.
- Select Add/Replace/Remove from the drop-down option.
Note: The Replace/Remove option will be displayed based on the custom field type.
- Select the value to be added, removed or replaced.
- Repeat the procedure for other custom fields, if required.
- Click UPDATE. A success message will be displayed on successfully updating the custom field.
Note: When bulk updating, changes cannot be implemented if the content is in moderation, pending review, or the change(s) will result in an empty required field. An error message will appear.
Bulk Updating Response Headers
To bulk update response headers, you can follow the steps below:
- Select Bulk Update and then Advanced. The Bulk Update pop-up will be displayed.
- To update response header for the entire or filtered results, select Whole/Filtered Results; to update response header only for selected question, select Select Questions.
- Click Answer. A section as shown below will be displayed.
- Select Response Headers.
- From the Response Headers drop-down, select the response header to be updated.
- In the Rename as field, specify the new name for the response header.
- Click UPDATE. A success message will be displayed on successfully updating the response header.
