Overview
The following article describes a step-by-step guide outlining the review process for users who are assigned as Owners to content in the Answer Library.
Use Case:
Content Owners are assigned to Q&A pairs in the Answer Library. They are responsible for ensuring these Q&A pairs are accurate and up-to-date on a cyclical basis that is determined by the review cycle. This is a great way to keep your content fresh and up-to-date.
Where to Find the Q&A Pairs that Are Waiting for You to Review
Option 1: Go to My Work page -> Click on the Answer Library Review task
Option 2: Go to the Answer Library -> My Work -> Pending Review
Option 3: Go to the Answer Library -> Team Work -> Pending Review
Note: The red exclamation mark next to the Q&A pair indicates the review is past due.
How to Edit a Q&A Pair
Users can edit Q&A pairs they own. To edit the Q&A pair in the Answer Library, click a question and then click the button.
Based on your team's specific Content Management process, the Owners might be updating these Q&A pairs based on:
- Grammar
- Accuracy
- Updated information
- Compliance reviews
- Editing styles
- Adding metadata
- Review Process (Any/All)
- And MORE!
Completing a Review Cycle in the Answer Library
The Review Process can be set to Any or All
If you are assigned as the only Owner or the review process is set to Any, any Owner can review this content. The Complete Review button will automatically push this Q&A pair out to the next review, based on the cyclical time frame specified.
You can update the Q&A pair you are assigned to as in Owner in the Answer Editor pop-up, then click Complete Review, when you finish reviewing the content.
If you are not finished reviewing the content, you can click Save to save any changes that you have made so far.
If the Review Process is set to All Owners, you have option to complete the review cycle for more than one Q&A pair at once by following the video below.
The green check mark indicates the Owner(s) who has reviewed the Q&A pair.
Note: The content will be moved to Answer Library Moderation (if moderation is enabled) or the Answer Library page only after all reviewers review the content (when review process is ALL). For more details, refer to Answer Library Owner Review Process documentation. |
Depending on the Moderation preferences set up by the Responsive Admin users, the content can go to Moderation to be approved or be updated in the Answer Library.
If Moderation is enabled, the updates will be sent to Moderation for approval, original content will be retained and further modifications are restricted.
There are many other capabilities to editing and organizing Q&A pairs, and it is up to your team to define what the Owner's role will be in this.
Note: If the content is locked for review in the Answer Library page, you can still edit the content if you are the content owner or an admin (with edit access). Clicking the |
