Overview
What is Proposal Builder?
Proposal Builder allows Responsive customers to create sales proposal documents using proposal templates. They are typically submitted to the decision-maker for review and consideration and typically they involve revisions or further discussion before final approval. Check out the feature list below:

Who would use Proposal Builder?
The use of proposals can vary widely depending on the industry, purpose, and context. Proposals serve as formal documents that communicate ideas, solutions, offers, Sales, Business, or requests. The user can tailor the document based on their needs. They are used across various sectors to achieve their goals and objectives.
Accessing Proposal Builder
Click Proposal Builder on the navigation bar to launch the builder.

OOB User Roles & Permissions
Standard Role Permissions
- Super Admin: Can view, create, and manage all proposal templates and proposals.
- Admin: Can view, create, and manage all proposal templates and proposals.
- Manager: Currently, users with this role cannot access Proposal Builder.
- Project Requestor: Currently, users with this role cannot access Proposal Builder.
- Team Member: Currently, users with this role cannot access Proposal Builder.
Custom Role Permissions
- Custom Role: Super Admins and Admins with appropriate permissions can create Custom Roles with access to create and manage proposal templates as well as proposals as required.
Prerequisites
To create impressive proposals or documents using Proposal Builder, you need to meet the following two prerequisites:
Section Templates
Section templates are the foundation of content in Proposal Builder. Section templates are pre-written sections and content that can be reused in proposals. You do not need to create these templates prior to start building proposals. To create a section template, refer to Working with Section Templates.
Theme File
A Theme file (Response Template) is essentially a Word document equipped with predefined styles. They allow you to seamlessly integrate your corporate branding into your proposals. You have the flexibility to include images, boilerplate text, branding colors, accents, define table layouts, lists, table of contents, and much more to customize the proposal and give it a personalized look and feel. To create a theme file, refer to Working with Theme Files.
Templates Tabs Overview
The following page is displayed the first time you launch the Proposal Builder and switch to the Templates tab.
You can begin creating your proposal template by clicking the Get Started button. You will be navigated to the template creation workflow.
Active Tab
Once the first proposal template is built, the Templates page displays a tabbed view, with the Active tab as the default. Here, you will find all the templates created by users across the organization. Active templates will be displayed on the Proposal Template Library while generating a proposal.
- Switch between the various tabs.
- New Template - Start creating a new template.
- Displays the Bulk options that can be performed when multiple proposal templates are selected.
- Move to Draft - Sets the template to draft status and moves it to the Draft tab.
- Move to Inactive - Deactivate and move the proposal template to the Inactive tab.
- Move to Trash - Move the proposal template to the Trash tab.
- Clear - Deselect/Clear the currently selected proposals.
- Displays the list of proposal templates that have been generated within the organization.
- Allows customizing the columns. You can add or remove the columns to be displayed on the page.
- The three-dot menu houses the following actions.
- Properties - Displays the details of the proposal Template.
- Edit - Update or make changes to the proposal template.
- Activity Log - Displays the activity log of the actions performed on the proposal template.
- Move to Draft - Set the proposal template as Draft and move it to the Draft tab.
- Move to Inactive - Set the proposal template as Inactive and move it to the Inactive tab.
- Move to Trash - Move the proposal template to the Trash tab.
Draft Tab
Proposal templates can be saved as drafts before they are published. These drafts, as well as any templates moved from other tabs, are listed in the Draft tab, providing the ability to edit and publish them.
- Switch between the various tabs.
- New Template - Start creating a new template.
- Displays the Bulk options that can be performed when multiple proposal templates are selected.
- Move to Trash - Deletes the proposal template by moving it to the Trash tab.
- Clear - Deselect/Clear the currently selected proposals.
- Displays the list of proposal templates that are either saved drafts or have been moved to Draft from other sections.
- The three-dot menu houses the following actions.
- Properties - Displays the details of the proposal template.
- Edit - Update or make changes to the proposal template.
- Activity Log - Displays the activity log of the actions performed on the proposal template.
- Move to Trash - Move the proposal template to the Trash tab.
Inactive Tab
To keep the Active and Drafts tabs clutter-free; you can deactivate the proposal templates you no longer require by moving them to the Inactive tab.
- Switch between the various tabs.
- New Template - Start creating a new template.
- Displays the Bulk options that can be performed when multiple proposal templates are selected.
- Move to Draft - Sets the template to draft status and moves it to the Draft tab.
- Move to Active - Moves the template to the Active tab and it becomes available for use in the Proposal Template Library.
- Move to Trash - Move the proposal template by moving it to the Trash tab.
- Clear - Deselect/Clear the currently selected proposals.
- Displays the list of proposal templates that are either saved drafts or have been moved to Draft from other sections.
- The three-dot menu houses the following actions.
- Properties - Displays the details of the proposal template.
- Activity Log - Displays the activity log of the actions performed on the proposal template.
- Move to Draft - Set the proposal template as Draft and move it to the Draft tab.
- Move to Inactive - Set the proposal template as Inactive and move it to the Inactive tab.
- Move to Trash - Deletes the proposal template by moving it to the Trash tab.
Trash Tab
Proposal templates that you no longer need can be removed by moving them to the Trash tab. Templates in the Trash tab can be recovered by moving them back to any of the other tabs.

- Move to Draft - Sets the template to draft status and moves it to the Draft tab.
- Delete Permanently - Permanently removing the proposal means it won't be found in the Trash tab, and it cannot be restored.
- Displays the list of proposal templates that are either saved drafts or have been moved to Draft from other sections.
- The three-dot menu houses the following actions.
- Properties - Displays the details of the proposal template.
- Activity Log - Displays the activity log of the actions performed on the proposal template.
- Move to Draft - Set the proposal template as Draft and move it to the Draft tab.
- Delete Permanently - Permanently removing the proposal means it won't be found in the Trash tab, and it cannot be restored.
Proposals Tabs Overview
The Proposals tab is displayed by default when Proposal Builder is launched.
To begin creating your first proposal template click Build your first Proposal Template.
Note: You will need a proposal template to get started with building a proposal. If there isn’t one, the system will guide you through the creation process.
Active Proposals Tab
Once the first proposal is built, the Proposals page displays a tabbed view, with the Active Proposals tab as the default. Here, you will find a collection of all currently active proposals generated within the organization.
- Switch between the various tabs.
- New Proposal - Start building a new proposal.
- Displays the Bulk options that can be performed when multiple proposals are selected.
- Move to Archive - Archives the proposal by moving it to the archive tab.
- Move to Trash - Move the proposal to the trash tab. While moving to trash, you will have an option to either permanently remove the proposals or move them to trash.
- Clear - Deselect/Clear the currently selected proposals.
- Displays the list of proposals that have been generated within the organization.
- Generate a preview of the proposal.
Note: The Preview icon will be displayed only for the proposals in the statuses- Ready or Shared. You can click anywhere on the row to view the preview.- View the proposal's engagements and analytics.
- Edit or make changes to the proposal.
Note: The Edit icon will be displayed only for the proposals in the statuses- Draft or Redraft. You can click anywhere on the row to edit the proposal. You will be navigated to the edit proposal workflow.- The three-dot menu houses the following actions.
- Move to Archive - Archives the proposal by moving it to the archive tab.
- Move to Trash - Move the proposal to the trash tab. While moving to trash, you will have an option to either permanently remove the proposals or move them to trash.
- Activity Log - Displays the activity log of the actions performed on the proposal.
- Displays the current version number of the proposal.
My Proposals Tab
In the My Proposal tab, you will find proposals that have been created by you.
- Switch between the various tabs.
- New Proposal - Start building a new proposal.
- Displays the Bulk options that can be performed when multiple proposals are selected.
- Move to Archive - Archives the proposal by moving it to the archive tab.
- Move to Trash - Move the proposal to the trash tab. While moving to trash, you will have an option to either permanently remove the proposals or move them to trash.
- Clear - Deselect/Clear the currently selected proposals.
- Displays the list of proposals you have built.
- Generate a preview of the proposal.
- View the proposal's engagements and analytics.
- Edit or make changes to the proposal.
- The three-dot menu houses the following actions.
- Move to Archive - Archives the proposal by moving it to the archive tab.
- Move to Trash - Move the proposal to the trash tab. While moving to trash, you will have an option to either permanently remove the proposals or move them to trash.

- Displays the current version number of the proposal.
Archive Tab
To keep the Active Proposals and My Proposals tabs tidy and organized; you can archive the proposals you no longer require.
- Switch between the various tabs.
- New Proposal - Start building a new proposal.
- Displays the Bulk options that can be performed when multiple proposals are selected.
- Move to Archive - Archives the proposal by moving it to the archive tab.
- Move to Trash - Move the proposal to the trash tab. While moving to trash, you will have an option to either permanently remove the proposals or move them to trash.
- Clear - Deselect/Clear the currently selected proposals.
- Displays the list of proposals you have moved to the Archive tab.
- Generate a preview of the proposal.
- View the proposal's engagements and analytics.
- The three-dot menu houses the following actions.
- Move to Active - Make the proposal active again by moving it to the Active tab.
- Move to Trash - Move the proposal to the Trash tab. While moving to trash, you will have an option to either permanently remove the proposals or move them to trash.
- Activity Log - Displays the activity log of the actions performed on the proposal.
- Displays the current version number of the proposal.
Trash Tab
To keep things tidy, you have the option to relocate old and obsolete proposals to the Trash tab when they are no longer needed.
- Switch between the various tabs.
- New Proposal - Start building a new proposal.
- Displays the Bulk options that can be performed when multiple proposals are selected.
- Move to Archive - Archives the proposal by moving it to the Archive tab.
- Delete Permanently - Permanently removing the proposal means it won't be found in the Trash tab, and it cannot be restored.
- Clear - Deselect/Clear the currently selected proposals.
- Displays the list of proposals you have moved to the Trash tab.
- Generate a preview of the proposal.
- View the proposal's engagements and analytics.
- The three-dot menu houses the following actions.
- Move to Active - Make the proposal active again by moving it to the Active tab.
- Delete Permanently - Removes the proposal permanently, and it won't appear in the Trash tab, nor can it be restored.
- Activity Log - Displays the activity log of the actions performed on the proposal.
