Overview
Note: This feature must be enabled prior to use. Contact your account manager, or accountmanagers@responsive.io, to enable it.
We provide a spelling and grammar checker for any field with the basic or full rich text toolbar.
It automatically marks words that are not spelled correctly or are not grammatically correct. While hovering over the marked text, it displays corrected text options in a pull-down menu that can be used to replace it. Also, words are added to the Dictionary so they are not marked in the future.
You can also select the variety of English you use, so the text in your documents is analyzed for any writing or grammatical issues or spelling errors within that variety. Available options include:
- General English
- US English
- British English
- Australian English
- Canadian English
Note: Our content tool does not store customer data, but it is processed by their servers. The servers are hosted in AWS in the US.
Once enabled, the spelling and grammar checker is available for your entire company as shown in the setup steps below. However, it can be turned on and off by users by clicking the Spellcheck and Grammar icon on the toolbar.
- This feature is available for Projects, Section Templates, and the Answer Library; it is not available for Guests.
- Only responses in full and basic rich text fields will be checked.
- The tool will not examine anything else.
- If you disable the spelling and grammar checker in the Organization Settings, you will have a spell checker but no grammar checker.
Use Case: To provide a professional response to a questionnaire, and reduce the risk of content being misunderstood due to the mistakes in the text.
Setting Up the Spelling and Grammar Checker
Once enabled:
- Go to Organization Settings > Company > Company Features and click the Edit icon next to Spellcheck and Grammar; then click the Spellcheck and Grammar toggle to turn it on.
- Select an option from the Language drop-down list, then click Submit.
Responding to Potential Errors
The spelling and grammar checker marks potential errors differently depending on the type of error:
- Words with spelling suggestions are automatically underlined in red. Mouse over the underlined word to see the suggested correction. Click one of the options to replace the misspelled word.
- Grammar and readability suggestions are automatically underlined in yellow. Mouse over the underlined word or sentence to see the suggested corrections. Click one of the options to implement it.
- Punctuation-related errors are automatically underlined in blue. Mouse over the underlined word to see the suggested corrections. Click one of the options to implement it.
- When text is flagged as having a potential error, mouse over it to see options. If one of the options shows the text you want, click it to change the text in the field.
- Also, click Add to Dictionary to store the text as valid. The spelling and grammar checker will not mark it again. If the word is spelled correctly, click Ignore. The spelling and grammar checker will not mark it again.
